Reporting to: ManagerLocation: Shanghai, ChinaObjective: To ensure efficient, smooth and appropriate operations of the Shanghai OfficeDuties and Responsibilities1. Office Administration: Establish and manage business processes, policies and procedures. Develop manuals and guide sheets, and trains all team members on their use. 2. Secretarial Functions: Answer phones and emails; greet visitors; perform word processing, mailing, filing, and database management; produce reports and presentations; provide orientation; schedule meetings and venues, arrange transportation and other logistics for Shanghai Office staff.3. Travel/Immigration Requirements: Provide information, recommend and execute travel arrangements for the visitors and related dependents. Identify and implement visa requirements, vaccines. Apply for and obtain identity cards or other relevant immigration documentation as appropriate. 4. Visitor Services: Schedule meetings and venues, make reservations, arrange local and international transportation and short-term and long-term accommodations for faculty, students, and other visitors. Identify, analyze and negotiate secure and cost-effective transportation, hotels, and apartments.5. Confidentiality and Protection of the Company Name: Identify, handle and securematerial and contact with head offices, outside organizations, etc. in a manner appropriate to the degree of confidentiality, discretion and integrity consistent with the highest professional standards and in compliance with the country’s laws and regulations.6. Office Operations: Organize and troubleshoot office operations including supplies,access cards and keys, computer and office equipment and services, security, maintenance and repairs, furnishings, utilities, custodial, etc. to ensure high user friendliness (instructions on equipment usage, manuals on problem-solving contact details) and efficiency.7. Research Assistance: Identify databanks, clip articles, assist in writing and editing, conduct research and provide information as requested. 8. Events: Provide logistical support for seminars, conferences, and other events and activities.9. Other duties as assigned.Language SkillsFluency in verbal and written Chinese (Mandarin) and English required.Required ExperienceA minimum of 1-year experience in a secretarial or administrative assistant position involving a high degree of contact with overseas parties. Office administration, payroll and/or accounting experience, secretarial training, and computing skills, including word processing, Excel and Powerpoint, required. Self-starter, flexible, and willing to take on a variety of diverse tasks. Experience working in a small, entrepreneurial team, managing logistics and serving as a liaison to an international community. Articulate with a deep commitment to the highest level of customer service.
